How much is the start-up fee?
What is the service fee for?
The service fee is a one-time setup fee that covers the cost of onboarding your VA. This includes preparing their dedicated office workstation, setting up accounts and communication tools, and assigning a supervisor to oversee their productivity.
It also secures your slot with Virtual Roots, ensuring we can match you with the right VA quickly and smoothly.

With freelancers, you never really know if they’re working. At Virtual Roots, our VAs work in an office environment under supervision.
That means no distractions, monitored productivity, and a replacement guarantee if a VA doesn’t work out.
Can I trust your VAs with sensitive information?
Yes. At Virtual Roots, security and confidentiality are a top priority. Since we operate in a physical office with supervisors on-site, each VA is assigned a designated computer for one client only.
Agents cannot take computers home. Everything stays in the office. At the end of each shift, they log out and clock out under supervision.
In addition, every client signs a Master Service Agreement with a built-in Non-Disclosure Agreement (NDA) to ensure full protection of sensitive information.

What is the whole process of getting started with Virtual Roots?
Getting started is simple and streamlined:
- Discovery Call – We start with a quick call to understand your business, the tasks you’d like to delegate, and the type of VA you need.
- Proposal & Agreement – You’ll receive a tailored proposal along with our Master Service Agreement, which includes a Non-Disclosure Agreement for your protection.
- Service Fee & Invoice – Once the agreement is signed, we send you an invoice for the service fee to officially secure your VA.
- VA Selection – We match you with the right VA from our office-based team, ensuring their skills fit your needs—whether in real estate, social media management, bookkeeping, or admin support.
- Onboarding – We introduce you to your VA, set up communication tools, and outline expectations so everything runs smoothly.
- Go Live – Your VA begins working under supervision in our office, on a dedicated computer, fully focused on your business.
From start to finish, the entire process typically takes 3 to 5 business days.
How do I get started?

Operations & Communication
Do I have to provide tools or subscriptions?
Clients are responsible for specific software subscriptions they want their VAs to use (for example: CRMs, email platforms, or project management tools).
We’ll guide you through setup if needed.
Can I choose my agent's working hours?
Yes. You can request the schedule that works best for your business, whether that’s U.S. hours, Australia’s hours, or another time zone.
For part-time arrangements (20 hours per week), availability is limited to either a morning shift or an afternoon shift, based on our team’s schedule.
For full-time arrangements (40 hours per week), you have the flexibility to set the exact working hours you need including evenings or weekends if required.
Since our VAs are full-time employees of Virtual Roots (not individual contractors), we are very thorough in our hiring process and ensure they are 100% dedicated to their assigned clients.
How many clients will my VA work for?
If your VA is employed for 40 hours per week, they are dedicated exclusively to your business and will not work for any other client.
If you choose a 20-hour plan, your VA’s schedule is divided between two clients so that they can still work a full 40-hour week.
This way, whether part-time or full-time, every VA remains a full-time employee of Virtual Roots not a freelancer juggling multiple side jobs.
How can I communicate with my VA daily?
We make communication simple and transparent. A group chat will be created with you, your VA, and the supervisor using your preferred platform (WhatsApp, Slack, Teams, etc.).
This ensures that the supervisor can oversee the workflow and step in if there’s ever an issue or if your VA needs additional support.
Your VA will message you as soon as they clock in to confirm their start and ask for the plan for the day. Throughout their shift, you can communicate with them directly.
At the end of the day, your VA will send you a detailed end-of-day report, giving you full visibility into their productivity and completed tasks.
You’ll always be able to reach your VA during their scheduled working hours.
